Privacy Policy
Last updated: 9 October 2026
This policy explains what personal information O'Dwyer Fitness & Nutrition collects, why, how it is protected, and the rights you have over it. It is written to be read in a few minutes. If anything is unclear, email odwyerfit@gmail.com and I'll explain.
Who I am
O'Dwyer Fitness & Nutrition (including the Built For More coaching programme) is run by Aidan O'Dwyer, a sole trader based at 1 The View, Rathdale, Enfield, Co. Meath, A83 Y863, Ireland. I am the "data controller" for the information described here, which means I decide how it is used and I am responsible for protecting it.
What I collect
When you take the Built For More Habits Audit: your name, email address, any other contact details you choose to give, and your answers to the questions.
When you apply for coaching: your contact details, your goals, your training background, your availability, and any health or injury information you choose to share.
When you join the newsletter: your email address and, if given, your name.
When you become a client: the details needed to coach you safely and well, including health and medical history relevant to exercise, injuries, assessment and test results, body measurements, progress photos (only if you agree to provide them), training logs, nutrition, sleep and recovery information, and messages between us. I also keep billing records.
When you contact me by email, phone, Instagram or Facebook: the details you send.
When you visit this website: basic technical and usage information, such as pages viewed, approximate location, device and browser type, and where you arrived from. This is collected through cookies and similar technology (see "Cookies" below).
Why I use it, and the legal basis
To send your Habits Audit results and follow up on them: your consent, given when you take the audit.
To assess your coaching application and talk to you about it: steps you ask me to take before entering a contract.
To deliver coaching, run your assessments, track your progress and keep you safe: performance of our contract. Health information is a "special category" of data, so I only use it with your explicit consent, which you can withdraw at any time (though I may then be unable to coach you safely).
To send the newsletter: your consent. Every email includes an unsubscribe link.
To keep financial records: legal obligation under Irish tax law.
To understand how the website is used and improve it: legitimate interests, and your consent where cookies require it.
I do not sell your information, and I do not use it for automated decisions that have legal or similarly significant effects on you.
Who I share it with
I use trusted service providers to run the business. They process data only on my instructions and are bound by data-protection terms:
Squarespace: website hosting, website analytics and newsletter sign-ups
ScoreApp: the Built For More Habits Audit
LeadConnector (HighLevel), via onlinecoaching.io: online coaching application forms and client communication
Google (Gmail, Google Forms and Google Workspace): email, the in-person coaching application form and file storage
TrueCoach: training programmes, assessments and client progress tracking
Meta (Instagram and Facebook): if you message me on those platforms
My payment provider and accountant: billing and financial records
I will only share information with anyone else if the law requires it, or if there is a genuine emergency affecting your health or safety.
International transfers
Some of these providers store data outside the European Economic Area, mainly in the United States. Where that happens, the transfer is protected by an approved safeguard, such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.
How long I keep it
Habits Audit results and coaching enquiries that don't lead to coaching: up to 2 years from your last contact, then deleted.
Newsletter: until you unsubscribe.
Client coaching records, including health information: for the length of your coaching and up to 2 years afterwards, so I can support you if you return, then deleted or anonymised.
Financial records: 6 years, as Irish tax law requires.
If information is needed to deal with a legal claim, I may keep it for as long as that requires.
How I protect it
I use reputable providers, strong unique passwords, two-factor authentication where available, and access limited to what is needed. No system is perfectly secure, but I take reasonable steps to keep your information safe and will tell you and the Data Protection Commission promptly if a breach is likely to put you at risk.
Your rights
Under the GDPR you can ask me to:
give you a copy of the information I hold about you
correct anything that is wrong or incomplete
delete your information
restrict or object to how I use it
give you your information in a portable format
withdraw your consent at any time (this doesn't affect anything done before you withdraw it)
Email odwyerfit@gmail.com to use any of these rights. I will reply within one month, and there is normally no charge.
If you are unhappy with how your information has been handled, please tell me first so I can put it right. You also have the right to complain to the Data Protection Commission at dataprotection.ie.
Cookies
This website uses cookies that are needed for it to work, along with analytics cookies that show how visitors use it. Non-essential cookies are only used with your consent, and you can change your choice at any time through the cookie banner or your browser settings. Squarespace's cookie policy lists the cookies it uses.
Under-18s
Coaching and this website are intended for adults. I do not knowingly collect information from anyone under 18 without the consent of a parent or guardian.
Changes to this policy
If I change how I use personal information, I will update this page and the date at the top. Significant changes will be communicated to clients directly.
